We are looking for a Temporary Senior Administrative Coordinator within our Global Development team. This role primarily supports the Vice President, Talent but will also provide support to the team as needed. 

  • Proactive in managing calendars for leaders using thorough understanding of department and leadership priorities. Ability to anticipate the needs of leaders and teams in order to manage and problem solve all logistics with a larger scope and greater impact if scheduling conflicts occur.
  • Fully responsible for logistics and execution of onsite meetings and events. Anticipate and make recommendations for catering for meetings scheduled over meal periods. Greets and escorts guests, if applicable.
  • Acts as the contact for offsite meetings and events. Responsible for collaborating with Strategic Sourcing and Procurement to manage and negotiate contracts within the approved budget limit.
  • Assist with managing the department budget and reconciling expense reports.
  • Knowledgeable of complex domestic and international travel including air, hotel, train, etc. Assists guests with travel, where applicable.
  • Proactive in monitoring purchase order requests and may gather expense requests. May submit requisitions and coordinate tracking of departmental deadlines.
  • Demonstrated organizational knowledge and ability to understand department and leader priorities while potentially supporting groups with increasingly complex responsibilities.
  • Actively manages department contact lists, files and documents. Manages and updates content on department’s shared drive and sites.
  • Any other ad hoc administrative assignments.

  • Advanced knowledge and proficiency in MS Office, SharePoint, Concur, and Skype with the ability to assist with more advanced troubleshooting. May be responsible for training new employees on internal systems.
  • Is a quick learner, can cope and make good decisions despite change and ambiguity; skillfully handles risk and uncertainty with composure and shifts gears with ease.
  • Works comfortably with all levels in the organization including senior managers. Understands how senior leaders think and what they expect.

In this role, a typical day may include: 
•    Serves as a primary point of contact and liaison for internal and external coordination of requests.
•    Crafts and revises systems and procedures by analyzing operating practices, evaluating personnel and implementing changes.
•    Proactively manages executives calendar 
•    Responsible for submitting Purchase Order requisitions and collaborating with Strategic Sourcing and Procurement to manage tracking of reqs.
•    Coordinates logistics of internal/external meetings and negotiate contracts for off-site meetings as well as managing meeting/event budgets within approval limit. 
•    May be responsible for coordination of completed agendas, final slides and distribution. Makes catering recommendations for meetings and events scheduled over meal periods. Where applicable, assists employees and guests with travel and expense reports.
